Who we are
Acadovia is school ERP software built for Indian schools, operated by the Acadovia team in partnership with Balance Buddy LLC. You can reach us at hello@acadovia.com for any privacy question.
What data we collect
We collect two kinds of data:
- Visitor data on this marketing site — the demo-request form (name, role, email, school name, city, board, student strength, modules of interest, optional notes) and standard server logs (IP address, browser, page).
- School data inside the Acadovia app — student records, staff records, attendance, fee transactions, notices and login activity that your school chooses to enter. This data belongs to your school.
How we use the data
- Demo-form data is used only to reply to your enquiry, schedule the demo and follow up about Acadovia. We do not sell or share it.
- School data inside the app is used to run the modules you have enabled — nothing else. We do not train AI models on your school data, sell it, or share it with third parties for marketing.
- We use anonymous, aggregate metrics (for example, how many schools use a feature) to improve the product.
Where data is stored
All Acadovia school data is hosted in Mumbai (AWS ap-south-1). Data is encrypted in transit (TLS 1.3) and at rest (AES-256). Role-based access is enforced at the database via row-level security, so a teacher cannot read another teacher’s class, and a parent cannot read another parent’s child.
How long we keep it
- Demo-form submissions: up to 24 months from the date of enquiry, then deleted unless your school becomes a customer.
- Active school data inside the app: kept for as long as your school is on Acadovia, plus backups for 7 days of point-in-time recovery.
- After a school cancels: we export your school’s data as CSV and PDF, deliver it, and delete the active records within 30 days. Audit logs may be retained for up to 90 days for security purposes, then deleted.
Cookies
This marketing site uses essential cookies only — for example, to remember your theme preference. The Acadovia app uses a session cookie to keep you logged in. We do not use third-party advertising cookies on either site.
Your rights
Under India’s Digital Personal Data Protection Act, 2023, you have the right to:
- Ask what data we hold about you.
- Ask us to correct any data that is wrong.
- Ask us to delete your data, subject to any legal obligation we have to keep it.
- Withdraw your consent to be contacted (we will stop within seven working days).
- Raise a grievance with our team, and escalate to the Data Protection Board of India if it is not resolved.

Children’s data
Acadovia stores data about minors as part of normal school administration. Schools are the data fiduciary under DPDP for their student records; Acadovia is the data processor. Schools obtain consent from parents at admission. We never use children’s data for advertising or marketing, and we never share it with third parties for those purposes.
Changes to this policy
We will update this page as our product and our policies mature. The date at the top of this page reflects the last update. Material changes will be notified to school admins inside the app.
