UPI fee collection without a payment gateway

Parents already pay on PhonePe and GPay. The hard part is the school ledger. Here is the flow we run in production — and what it deliberately does not do yet.

The three-app fee desk

A familiar morning: UPI in the bank app, cash in the drawer, concessions in a WhatsApp chat, and the “real” balance somewhere in Excel. Parents ask “did it clear?” before the clerk has typed the UTR. That is not a morality failure — it is a tooling failure.

The QR + UTR flow (live on Acadovia)

  1. Parent opens the portal, sees open dues.
  2. Pays using the school’s own UPI QR (GPay, PhonePe, bank app — any UPI).
  3. Submits the UTR the payment generates.
  4. Office verifies UTR against the bank statement and posts the receipt to the student ledger.

Money goes school ← parent. We never touch fee money, so there is no gateway commission for us to take. Our charge is software only: ₹5 per active student per month after a free first month.

Cash and cheque still matter

Many parents still pay cash at the counter. A system that only does “online” abandons the Indian fee desk. Cash and cheque post to the same student balance as UPI — one ledger, one receipt series.

What this is not (yet)

Roadmap honesty

Auto-reconciled payment gateway links (Razorpay-class) are on the roadmap. If you need that model this month, say so up front — we will not pretend the QR+UTR path is the same product.
