School ERP vs Excel: when the fee desk should switch
Excel is not the enemy. Chaos is. Here is how we decide — from real Indian school-office workflows — when a shared spreadsheet stops being safe.
Most schools we talk to do not start from “zero software.” They start from Excel + WhatsApp + a carbon-copy receipt book, sometimes with a partial ERP that only the accountant likes.
When Excel is still the right tool
- Under ~150 students, one trusted fee clerk, one campus.
- Most fees still cash/cheque with simple annual heads.
- No parent portal expectation; paper receipts are accepted.
- The same person owns both the sheet and bank reconciliation.
When Excel starts failing

- Sibling discounts and mid-year admissions — formulas break; audit trail disappears.
