School finance problems (and how a school ERP helps)
Finance in a private school is not a corporate FP&A deck. It is fee collection season, broken promises, and a principal who needs to know dues before payroll week. This post is about those problems — separate from pure accounting/bookkeeping (see the sister article).
Finance vs accounting in a school (why two blogs)
School finance here means cashflow and fee operations: who owes what, which instalment is open, whether today’s UPI cleared, whether concessions are killing the term budget. School accounting means books, ledgers, heads mapping toward Tally-style records and statutory packaging — covered in school accounting problems & Acadovia.
High-frequency school finance problems
- Invisible arrears — Dues live in a register; the principal sees them only when salary is at risk.
- Instalment chaos — Term 1 partial, Term 2 concession, transport add-on: nobody trusts the balance.
- UPI without a ledger — Bank SMS says paid; student account still open; parent is angry at the gate.
- Cash + UPI split brain — Two people collect; two notebooks; month-end is archaeology.
- No age buckets — “Who is 30 / 60 / 90 days overdue?” cannot be answered in a staff meeting.
- Sibling / staff discounts undocumented — Finance decisions made on WhatsApp, lost by April.
How Acadovia helps school finance (not magic, operations)
- One student balance — Fee heads, dues and receipts in one place the principal can open on a phone.
- UPI QR + UTR path + cash + cheque — Same ledger; see UPI without gateway cut and fee management guide.
- Roles — Accountant collects; teacher does not rewrite dues; parent sees what you choose to show.
- Earlier signals — Outstanding visibility beats end-of-term panic (pair with process: who chases dues weekly).
Software does not create fee discipline. It removes excuses. The school still needs a named person who owns arrears every Friday.
What this is not
Acadovia is not your CA, bank, or loan product. We do not promise automatic bank reconciliation of every UPI without UTR verification. Gateway auto-collect is roadmap. For bookkeeping/Tally-shaped questions, read the accounting issues blog.
